Do you like to talk on the phone? Do you like to keep things organized? Then, we have the job for you!  The administrative support role will perform administrative and office support activities associated with the front desk of the production facility, as well as greeting customers that come to the facility and any other administrative tasks as assigned by the department head. In addition, this administrative support role will serve as a backup for different administrative support roles, as needed. The administrative support role is key to helping assist each department in Short’s with scheduling needs, data entry, fielding calls, answering questions, scanning and filing, and providing general assistance on a project basis.

Specific Duties and Responsibilities:

  • Front Desk Reception Responsibilities

    • Answer and direct phone calls (this includes making sure there is phone coverage at the front desk at all times during normal business hours).

    • Keep the front office and lobby area neat and organized. Assist with overall office maintenance and organization.

    • Receive, sort and deliver mail/packages  – within department: open, scan and file documents, as necessary

    • Prepare outgoing mail – package, label, ship/mail in timely manner, as requested

    • Perform general data entry – as required by Department/Administration

    • Receive guests of the company and vendor representatives. Be able to direct them to the appropriate staff.

    • Coordinate Repack lunches and supplies, as needed, per Repack Tasks Protocol

    • Other responsibilities, as assigned.

  • Customer Service Responsibilities

    • Be an expert on Short’s Brewing Company and Starcut Ciders in order to answer customer questions.

    • Assist marketing team as needed with tasks such as sample mailing, POS printing/organizing and pulling packaged products from the production line for photographing and other projects as assigned. 

    • Other projects, as assigned.

  • General Office Responsibilities

    • General office coordination, coordination of calendars, mezzanine meetings,  and data entry.

    • Maintain the monthly break room calendar

    • Interact positively with co-workers, suppliers, and visitors.

    • Perform general clerical duties that include, but are not limited to, copying, scanning, faxing, mailing, and filing. 

    • Conduct research, compile data, and prepare papers, as requested.

    • Create and modify documents, which may include invoices, reports, letters, and/or SOPs.

    • Maintain confidentiality in all aspects of client/vendor, staff, and company information.

    • File and retrieve organizational documents, records, and reports. 

    • Assist in planning special events such as fundraising activities,  and annual meetings. 

    • Assist departments within Short’s by creating Word documents and Excel spreadsheets, ordering and shipping, and special projects as requested.

    • Create and maintain SOPs for administrative processes.

    • Have a general knowledge of Cram-It and how to interact with customers should Cram-It admin staff not be available.

    • Report any employee questions/concerns to Human Resources.

    • Make travel arrangements.

    • Run errands, as requested.

    • Other related duties as assigned.

Required Knowledge, Skills and Abilities:

  • Proficient in Microsoft Office Suite, Google Mail (and related programs), and Powerpoint.

  • Proficient with Google Docs & Sheets, able to draft documents, format documents, organize & maintain documents.

  • Ability to develop, execute and maintain filing systems for Administration/Department

  • Ability to maintain and produce filed documents at Administration’s request

  • Ability to handle multi-line phone system  – answer, transfer, place calls on hold, clear voice messages, set up conference calls, etc.

  • Ability to complete daily tasks, and manage time to complete projects within deadlines.

  • Good writing, analytical, and problem‐solving skills.  

  • Ability to type quickly and efficiently.

  • Knowledge of principles and practices of organization, planning, records management, and general administration.  

  • Ability to communicate effectively and positively. Provide excellent customer service.

  • Ability to operate standard office equipment, including but not limited to – computers, telephone systems, calculators, copiers and facsimile machines.  

  • Ability to follow oral and written instructions.   

  • Ability to work well either independently or as part of a team, to complete project tasks within deadlines.  

  • Must possess a valid MI driver’s license.

Physical Abilities:

  • Able to sit for extended periods; use hands to handle or feel and talk or hear. 

  • Ability to frequently reach with hands and arms. 

  • Must be able to stand, walk and stoop, kneel, crouch, or crawl. 

  • Ability to frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. 

  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. 

  • Ability to climb one flight of stairs several times a day.
